Scope
This policy explains how Seed to Sausage Corporation (“Seed to Sausage,” “we,” “us,” or “our”) handles personal information through seedtosausage.ca, the S2S Systems Manager, and related business communications.
The S2S Systems Manager is an internal operations application for authorized Seed to Sausage personnel. It supports inventory, production, receiving, fulfilment, invoicing, and related business records.
Information we collect
Depending on how you interact with us, we may collect:
- Contact and business information, such as a name, company, role, address, email address, telephone number, and the contents of an inquiry.
- Customer and transaction information, such as customer identifiers, purchase orders, orders, invoices, delivery details, payment terms, and related communications.
- Operations information, such as product, inventory, lot, batch, receiving, production, fulfilment, and document records.
- Account and security information for authorized Systems Manager users, such as a username, display name, role, password verification data, session records, and audit or activity records.
- Website analytics information, such as pages viewed, general traffic and referral information, language, and interactions. We load optional Google Analytics cookies only after you choose to accept them.
Please do not send sensitive personal information through a website inquiry unless we specifically request it for a legitimate purpose.
How we use information
We use personal information to:
- respond to inquiries and communicate about products, wholesale, distribution, and customer service;
- manage customer relationships, orders, production, inventory, shipping, invoices, accounting, and business records;
- operate, secure, troubleshoot, and improve our website and internal systems;
- authenticate authorized users, assign permissions, and maintain activity records;
- understand website traffic when analytics consent has been provided; and
- meet legal, tax, accounting, security, and regulatory requirements.
We do not sell personal information or use it for behavioural advertising.
Consent and choices
We seek consent where required and limit collection to information reasonably needed for the identified purpose. Consent may be express or implied depending on the circumstances and the sensitivity of the information.
You may accept or decline optional analytics cookies. You can reopen Analytics choices from the website footer at any time. Declining analytics does not prevent you from using the website.
You may withdraw consent for other optional uses by contacting us, subject to legal or contractual restrictions and reasonable notice. Withdrawal may affect services that depend on that information.
Service providers and QuickBooks
We use service providers to host and operate our systems, deliver communications, analyze website traffic when permitted, and support business functions. They may process information only for the services they provide to us and are expected to protect it appropriately.
The S2S Systems Manager can connect to QuickBooks Online. When connected, relevant customer, product, tax, and invoice information may be exchanged with Intuit to retrieve accounting records or create invoices for review. Intuit handles that information under its own privacy terms.
Some providers may process or store information outside Canada. In those cases, information may be subject to the laws and lawful access requirements of the country where it is processed.
Retention
Website inquiry information is retained only while we handle the inquiry and is scheduled for deletion within two months, unless it becomes part of an ongoing customer or business relationship or must be kept for another lawful purpose.
Customer, transaction, accounting, operational, security, and Systems Manager records are retained only as long as reasonably required for business operations, legal and tax obligations, dispute resolution, security, and record keeping. We then delete, anonymize, or securely dispose of the information where practical.
Safeguards
We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information. These include access controls, role-based permissions, password hashing, protected sessions, encryption for certain integration credentials, and activity records. No system can be guaranteed completely secure, but we review safeguards and respond to suspected incidents.
Access, correction, and complaints
You may ask whether we hold personal information about you, request access to it, or ask us to correct inaccurate information. We may need to verify your identity and may withhold information where permitted or required by law.
Questions, requests, and privacy complaints can be sent to our Privacy Officer. We will review the request and explain our response.
